      March 10, 1999 Kick Off Meeting

    Welcome and introduction of team: Laura , Louella, mention Paul Brewer and Chris Miller, Joan & Barry

    Two events are planned:

    Sandia Day and 50th Anniversary celebration to be held on Wednesday, November 3, 1999

    Our focus is Sandia Day, Saturday, September 11, 1999 

    Briefly review what we did in ’94

    It was fun. Some exhibits were extremely popular and overcrowded
    It was hot. Some exhibits were barely noticed.
    There were lots of exhibits everywhere. There were a lot of videos.
    There was food. It was an expensive event.
    We had about 2000 attendees. We had VIP tours early on Saturday, and on the preceding Friday afternoon.
    People needed to be escorted. We had great entertainment provided by our own employees.
    People had a good time. We had a Kids coloring contest with impressive prizes.
    We had a kids play area. Too many people worked too hard, and never got a break all day.
    We had no outside exhibitors.  
     

    What we will do different in 99

    It will be fun
    There will be good weather.

    It will be on a different day than the New Mexico event.

     • Information sharing

    We will use the web as much as possible.

    Use web site to find guidelines (security, ES&H, etc.).

    Register.

    Request exhibits.

    Get forms.

    See meeting minutes, etc. 

    • Exhibits

    There will be lots of exhibits, but…

      • We will try to tie them together more based on SBU.
      • Co-locate exhibits in zones.
      • No pressure for every organization to do something, rather, team up with other departments and with counterparts in New Mexico.
      • Less can be more.
      • Hands on is more fun. 

    • Logistics

    We will seek to contract with an outside vendor for as much of the logistical support as possible (tables, chairs, decorations, tents, buses, etc.). 

    • Security

    We will seek to minimize the need for escorts 

    • Food

    We will likely be supplied by only one vendor. 

    • VIP tours

    We will seek to accommodate VIPs on one day only.

    • Time charging policy

    Popular exhibits

    Consider staging visitors in an area with seating, and provide information about the exhibit, and how it relates to the Sandia/DOE mission/SBU.

    Also consider the possibility of giving out tickets to limit attendance each hour or session, and to allow for breaks. 

    External Affairs/Outreach

    Coordinate LEAP fair, Health fair, and other outside exhibitors (e.g., Tech museum, HP, Intel). 

    Suggestions for this year are wanted!

    Your assignment

    Talk with your department manager and members (perhaps at a department meeting).

    Discuss what your department might do, what SBU it would relate to, where any exhibits might be (in the SBU zone/tent, lab or conference room).

    can you collaborate with counterparts in New Mexico for your exhibit.

    Can you use a summer student to help?

    Is your department web site up to date? 

    Future Meetings

    I am planning on monthly meetings until the week of July 12, twice monthly, until the week of August 9, then weekly.

    If you have your manager’s buy-in, put this task on your PMF; it falls under "Service to Sandia."

    Supplement Notes

    Likes:

    • Weapons - the desire to have a Weapons Tent again this year was expressed; there will definitely be one.
    • Entertainment - may be located in B911 parking lot.
    • B913 will be closed; ready to be torn down.
    • Redwood Center - parking to be used for displays.
    • Entertainments - SNL employees will be invited to perform; our ability to pay performers is still in question.
    • VIP Day may be held on Friday, September 10 - invitations made by VPs and directors (including Ron Stoltz).
    • Next meeting is scheduled on Monday, April 12 at 1:00 p.m. (Where? TBA)
    • Larry Carrillo - represents 8200 Center, is willing to help for whatever is needed, except on Sandia Day, and he'll be asking for more volunteers at IMTL; may volunteer to serve food?
    • Virtual reality - not planning to have an exhibit this year.
    • Kids Zone in B912 - over populated last year: people did not get breaks.
    • Will invite strategic partners to participate such as Intel, DOE , Lockheed Martin.
    • Attendees expressed an interest in having food in multiple locations.
    • There will be drawing contests and prizes for kids of different ages.
    • We hope to get a contractor to take care of the logistics, foods, etc.
    • More Security information will be available for the next meeting. (Where will escorts be required?).
    • Department Representatives should verify that their department web sites are updated.
    • The theme for this year is: 50th Anniversary - Exceptional Service.
    • There will be a Corporate Exhibition display in the IMTL lobby, which will stay there for about a month, then it may go to the Tech Museum in San Jose.
    • Before the meeting ended, everyone was given an assignment; please see annotated agenda.
    • Time Charging - see attachment - this will be posted on the web page.
    • On November 3, SNL/CA's 50th Anniversary - it's a one-day celebration only; there may also be activities on November 1.
    • Vice-president Al Gore may be speaking in New Mexico on November 1 and in SNL/CA on November 3; there may be a marching band.
    • Paul Robinson may be here onsite.
    • The time capsule will be buried near the flagpole, and we will have refreshments.
